Mortgage Document Manager

Territory: Nashville, TN

Job Title: Mortgage Document Manager

Department: Secondary Operations

Category: Mortgage

Reports To: Secondary Operations Manager

FLSA Status: Exempt

Location: Nashville/Cool Springs

Hours: 8 5 cst (overtime may be required throughout the month)

Summary:

Position is responsible for the day to day management for the receiving, scanning and organizing files from multiple offices, final documents on all loans closed and government insuring.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Manage a department of Loan Document Specialist, Final Document Specialist and Insuring Specialist

  • Mentor, Coach and preform performance review on all employees that report directly

  • Ensure missing documents from scanned packages are obtain in a timely manner and pushed through the LOS to the next department

  • Monitor that packages are scanned into Loan Origination System for electronic delivery to end aggregators and storage

  • Monitor daily, weekly and monthly reporting to ensure file return is within 72 hours of closing, preventing of aged loans

  • Review and create endorsement on Original Notes or Allonge for delivery to agency or aggregators

  • Maintain updated information on all procedures posted to company sites regarding file receiving, scanning and final documentation.

  • Track down final/trailing docs for every closed loan, maintaining all aggregator and agency delivery time frames

  • Manage the daily insuring of all FHA, VA and USDA loan files.

  • Handle all team escalations and priority documentation.

  • Keep Ginnie Mae final certification at 6 months or less.

  • Keep FHLB final certification at 6 months or less.

  • Assist in shipping loan documents to investors upon initial sale of loan

    Qualifications

    Education and/or Experience

  • College degree - preferred

  • Mortgage experience 2-5 years

  • Management experience- preferred

    Language Skills

    Ability to effectively present complex information in a simple, logical, and brief manner and respond to questions from groups of managers, clients, customers, and general public.

    Mathematical Skills

    Must have excellent analytical/problem solving skills. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, etc.

    Reasoning Ability

    Demonstrates the ability to solve practical problems and deal with a variety of concrete variables in situations where limited standardization exists. Demonstrates the ability to cross reference data from multiple sources and find codes that are applicable to certain loan deliveries.

    Computer Skills

    To perform this job successfully, an individual should have knowledge of Microsoft Office (Excel, Word, Outlook etc.) and the ability to navigate websites effectively and efficiently.

  • Must be a clear communicator

  • Ability to handle multiple tasks in a time sensitive manner

  • Able to perform under pressure

  • Experience with Encompass preferred

  • Experience with Fannie Mae preferred

  • Experience with Freddie Mac preferred

  • Experience with Ginnie Mae, preferred
