Mortgage Document Manager

Territory: Franklin, TN

Position is responsible for the day to day management for the receiving, scanning and organizing closing documents and original collateral of all loan closings at FirstBank. In addition, this position is responsible for all Final Document collection, scanning, shipping and pool settlement for all loan files closed at FirstBank.

Essential Duties and Responsibilities include the following. Other duties may be assigned.


  •  Manage a department of Loan Document Specialist and Final Document Specialist ensuring that all daily task is completed timely.
  •  Mentor, Coach and preform performance review on all direct reports daily, weekly and yearly.
  •  Ensure missing documents from scanned packages are obtain in a timely manner and pushed through the LOS to the Post-Closing department within 24 hours of package received.
  •  Monitor that packages are scanned into multiple LOS systems for electronic delivery to end aggregators and storage.
  •  Monitor daily, weekly and monthly reporting to ensure closing packages are received within 48 hours of closing, to prevent aged loans.
  •  Review and create endorsement on Original Notes or Allonge for delivery to agency or aggregators.
  •  Complete weekly audit on all direct reports for quality and training.
    •  Maintain updated information on all procedures posted to company sites regarding file receiving, scanning and final documentation.
    •  Monitor reporting for final/trailing docs for every closed loan, maintaining all aggregator and agency delivery time frames ensuring all documents received are shipped within 48 hours of being received.
    •  Maintain 6 month advance Ginnie Pool certification.
    •  Daily communication with document custodian for GNMA final/trailing docs to clear all exception timely.
    •  Manage MSR sale trailing documents to make sure sales dates are met and all documents are ready to deliver.

Education and/or Experience

  •  College degree - preferred
  •  Mortgage experience 2-5 years
  •  Management experience- preferred


Language Skills

Ability to effectively present complex information in a simple, logical, and brief manner and respond to questions from groups of managers, clients, customers, and general public.


Mathematical Skills

Must have excellent analytical/problem solving skills. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, etc.


Reasoning Ability

Demonstrates the ability to solve practical problems and deal with a variety of concrete variables in situations where limited standardization exists. Demonstrates the ability to cross reference data from multiple sources and find codes that are applicable to certain loan deliveries.


Computer Skills

To perform this job successfully, an individual should have knowledge of Microsoft Office (Excel, Word, Outlook etc.) and the ability to navigate websites effectively and efficiently.

  •  Ability to handle multiple tasks in a time sensitive manner
  •  Able to perform under pressure
  •  Experience with Encompass, preferred
  •  Experience with MortgageBot, preferred
  •  Experience with Fannie Mae, preferred
  •  Experience with Freddie Mac, preferred
  •  Experience with Ginnie Mae, preferred
